Per-Seat Pricing: What Your Software Bill Looks Like as Your Team Grows

A tool that costs $840 a year for 10 people costs $2,940 at 35. Here is how to project per-seat costs before they surprise you.

Most business software charges per user, or per seat. That keeps the price low when you are small, and it is why software costs often grow faster than anyone expects once hiring starts.

The calculation

Multiply the price per seat per month by the number of seats, then by 12. On a plan at $7 per seat per month:

Each new person adds $84 a year for this one tool. That sounds small, but a typical company uses many per-seat tools at once, and each hire adds a seat to most of them.

Add it up across the stack

List every per-seat tool, its price per seat, and whether it applies to everyone or only some teams. The total per-person software cost is a useful number to have when budgeting for a new hire.

Things that change the price

  • Tier limits: some plans cap the number of seats, forcing an upgrade to a more expensive tier past a certain size.
  • Annual contracts: seats added mid-year are often charged for the rest of the term.
  • Minimum seat counts on business plans.
  • Price rises: vendors do raise per-seat prices, sometimes significantly.

Keeping it under control

  • Remove seats when people leave. Unused seats are one of the most common software costs to find in an audit.
  • Check whether everyone needs a full seat. Many tools offer cheaper viewer or guest access.
  • Review seat counts before each annual renewal.

Per-seat vs other pricing models

Per-seat pricing is common because it is easy to understand, but it is not the only model. Usage-based pricing charges for what you consume, such as API calls or storage. Flat pricing charges one amount regardless of team size, sometimes with tiers. Each suits different teams.

Per-seat pricing works well when every user gets similar value. It becomes expensive when many people need only occasional access, which is where cheaper viewer seats or a flat plan can be worth comparing.

Tip: Before a hiring plan is approved, project software costs at the new headcount alongside salaries. It is rarely the biggest cost, but it is one of the easiest to overlook.
